As measures to contain the coronavirus (COVID-19) have reached our area, I would like to outline some of the challenges and expectations we are facing with rescheduling any scheduled sessions. I am committed to being as accommodating and sensitive as possible during this crisis, I hope that the information outlined below can address some of the questions or concerns you may have regarding how I am working to ensure the safety of myself and my clients. Should you have any additional questions or concerns, please reach out to me directly at email@example.com.
In the event there is no local lockdown requirements (federal, state or county), venue cancellations, or session participants diagnosed with COVID-19 or instructed to quarantine after potential exposure, I will plan to move forward with all sessions on schedule. I will continue to stay on top of new reports, CDC recommendations and consistent communication with my clients to ensure we are complying with all health and safety standards. If you believe you have been exposed to COVID-19, or have received a recent positive diagnosis, please inform me as soon as possible to allow as much flexibility as possible in rescheduling.
During all sessions I will follow CDC recommendations, wear a mask, utilize hand sanitizer frequently and avoid excessive contact.
While I am taking every precaution to minimize potential exposure, the reality of today's situation is that risk is not always 100% avoidable. If I display any signs of illness, learn of any potential exposure, or receive a positive diagnosis I will be sure to contact all upcoming clients immediately to reschedule new, mutually-agreeable dates. Rescheduling fees will be waived for this specific instance. I will not commence sessions until I am cleared by doctors along with a negative COVID-19 test.
If federal, state, or county directives arise that would prohibit any session from taking place altogether, I will immediately connect with all upcoming clients to reschedule new, mutually-agreeable dates. I ask that clients please respond promptly to help determine a new date, sign a new contract, and move any paid monies towards the rescheduled session. No rescheduled session is official until the new contract is signed for the new date. No new dates are guaranteed and all are available on a first comes, first serve basis. Rescheduling fees will be waived for this specific instance. Please read the COVID-19 Cancellation policy below for more information on session cancellations.
I am not offering refunds in the event of cancellation due to COVID-19 or rescheduling to a date I am not available. This is because of the investments that are already made into the session such as turning down other opportunities, communication, emails, preparations and other administrative work. Understanding that these are trying times for everyone, I am doing my best to navigate these situations with as much grace as possible. I realize that a full cancellation would affect both of us negatively and have no interest in this happening to either of us! Because of this, I encourage clients to postpone instead of canceling. My General Cancellation Policy and COVID-19 Rescheduling & Cancellation Policy are stated below for your reference:
General Cancellation Policy
"...The initial payment reserves the photographer’s time and is not a retainer or deposit. The Photographer agrees to not advertise availability of this same time slot to any other potential clients. If CLIENT cancels this shoot for any reason, including Acts of God, strike and/or extreme weather, the initial payment will not be returned to CLIENT. The "Photographer" is defined as any available photographer associated with or contracted by Stephanie Schmidt Photography."
